What you'll accomplish
By the end of this guide, you'll have ChatGPT configured to understand your store's context automatically — so every time you ask it to write a coaching note, weekly summary, or job posting, it already knows your store type, team size, and communication style. No more explaining yourself from scratch every time.
What you'll need
Go to chat.openai.com and log in. Click your profile icon in the bottom left corner. Select Customize ChatGPT from the menu. A dialog box opens with two text fields.
What you should see: A modal with two large text boxes: "What would you like ChatGPT to know about you to provide better responses?" and "How would you like ChatGPT to respond?"
Troubleshooting: If you don't see "Customize ChatGPT," you may be on an older interface — try clicking the three dots (...) next to your name instead.
This is where you tell ChatGPT who you are and what you manage. Paste and customize this template:
I'm a retail store manager at a [store type — e.g., specialty home goods store / dollar store / big-box electronics retailer]. I manage a team of approximately [number] employees, mostly part-time hourly workers. The store is [corporate chain / independently owned]. My key responsibilities include scheduling, hiring, performance management, customer escalations, and weekly reporting to my district manager. I use [scheduling software, e.g., Homebase / When I Work / paper schedule] and [POS system, e.g., Square / NCR / corporate system]. My team includes [shift leads / department managers / or just associates and me]. Average store volume is approximately $[X] per week.
This tells ChatGPT your preferences. Use:
Respond in a direct, professional tone appropriate for a retail management context. Keep responses concise and practical — I'm busy and need things I can use immediately. When writing HR documents (coaching notes, PIPs, warning letters), use formal, legally appropriate language with specific observable behaviors. When writing customer-facing content (review responses, complaint emails), use empathetic but professional language. Avoid corporate buzzwords. Format with clear headers or bullet points when the output is a document I'll use. Always assume I have management authority (I can make scheduling, hiring, and disciplinary decisions). Don't ask clarifying questions if you can make reasonable assumptions — I'll correct you if needed.
Click Save. Open a new chat. Type: "Write a coaching note for an employee who was 20 minutes late twice this week." You should get a response that already understands the retail context without you explaining it.
What you should see: A coaching note that references retail-appropriate context (shift coverage, customer impact) and uses formal HR language — without you explaining any of that.
Troubleshooting: If the response seems generic, go back and add more specific details about your store type in Step 2.
Every time ChatGPT misunderstands your context, update your custom instructions. Common additions:
1. Weekly district manager summary:
Write my weekly ops summary email for [DM name]. This week: sales [$ actual] vs [$ target]. Key events: [2-3 bullet points]. Next week priorities: [1-2 items]. Use the format and tone we normally use.
2. Job posting:
Write a job posting for a part-time [role] for my store. Availability: [days/hours needed]. Key traits: [2-3]. Pay: $[X]/hr. Include what's good about working here.
3. Customer complaint response:
Write a professional email response to a customer complaint about [describe issue]. We offered [resolution]. Don't admit fault. Keep it empathetic and concise.
4. PIP:
Write a 30-day PIP for a [role] with these issues: [list specific incidents with dates]. Include 3 measurable goals, weekly check-ins, and a consequence statement.
5. Team briefing from corporate policy:
Summarize this for a 5-minute team stand-up. What do my associates need to DO differently? Maximum 6 bullets. Here's the update: [paste content]
